Data Retention Policy

This policy describes what information Vaelith keeps, why we keep it, and how long we retain it. It supplements our Privacy Policy, which explains your rights and choices in full.

Why we retain data

We keep information only as long as it is needed to operate the store, fulfill and document orders, provide customer support, meet legal, tax, and accounting obligations, and maintain the security of our systems.

What we retain and for how long

• Account information (name, email, login), for as long as your account is active, and for a reasonable period afterward for record-keeping or if you return.
• Order & transaction records (items, amounts, shipping, invoices), retained for up to 7 years to satisfy tax, accounting, and legal record-keeping requirements.
• Certificates of Analysis & lot records: retained on an ongoing basis so documentation stays available for the materials we have supplied.
• Support communications: retained for a reasonable period to provide continuity of service and to resolve disputes.
• Marketing contacts: retained until you unsubscribe, after which we keep only the minimal record needed to honor your opt-out.
• Website analytics: retained in aggregated or limited form for a limited period to understand and improve site performance.

Payment information

Card and payment details are handled by our payment providers, not stored on our servers. Their retention is governed by their own policies. See our Privacy Policy for details.

Deletion & your rights

When data is no longer needed for the purposes above, we delete, de-identify, or archive it. You may request access to or deletion of your personal information as described in our Privacy Policy. We will honor such requests except where we are required or permitted by law to retain certain records, for example, completed-order and tax records.

Backups

Residual copies of data may persist in secure, encrypted backups for a limited time after deletion from active systems, after which they are overwritten in the ordinary course of backup rotation.
